Whether you're staffing a new office, running a graduate recruitment program, processing applications from a job fair, or scaling your team rapidly — you need to review a lot of resumes fast.
ResReader's batch upload lets you upload up to 10,000 resumes per job and get AI analysis for each one, automatically.
The Problem with High-Volume Hiring
High-volume recruitment creates enormous pressure:
- Time pressure — Positions need to be filled quickly
- Quality risk — Rushing through resumes means missing great candidates
- Consistency challenge — Different reviewers evaluate differently
- Cost escalation — More candidates = more recruiter hours = higher cost-per-hire
How Batch Upload Works
Step 1: Prepare Your Files
ResReader accepts:
- PDF files (recommended for best text extraction)
- DOC and DOCX files (Microsoft Word format)
- Scanned documents are also supported
No special naming convention required — just select your files.
Step 2: Upload
- Go to your active job posting
- Click "Upload Resumes"
- Select all your files at once from the file picker
- That's it — ResReader handles everything from here
Step 3: Automatic Processing Pipeline
Here's what happens for each resume:
Upload → Text Extraction → Language Detection → Duplicate Check → AI Analysis → Scoring → Skill Normalization
The entire pipeline runs automatically and in parallel. You don't need to wait for one resume to finish before the next starts — the system processes multiple resumes simultaneously.
Step 4: Smart Duplicate Detection
ResReader is intelligent about duplicates, saving you time and scan credits. If the same resume was previously uploaded to another job, existing resume data is reused — only the new job-specific analysis costs a scan credit. This means you never waste credits on duplicate processing.
Managing Your Scan Budget
Understanding Scan Credits
Each new resume analysis uses one scan credit. Your monthly allowance depends on your plan:
| Plan | Scans/Month | Price | Extra Scans |
|---|---|---|---|
| Free | 75 | $0 | — |
| Starter | 4,000 | $79/mo | $20/1,000 |
| Pro | 10,000 | $159/mo | $19/1,000 |
| Enterprise | 25,000 | $299/mo | $18/1,000 |
Scan Limits
If your remaining scans run out during a batch upload, the system processes as many resumes as your balance allows. Resumes that couldn't be scanned are marked so you can process them later after upgrading or purchasing extra scans.
Monitoring Upload Progress
During batch upload, you get full visibility:
- A real-time progress banner tracks upload and processing status
- File count shows how many have been uploaded vs. total
- Processing status updates as files move through the analysis pipeline
- You can continue working while the batch processes in the background
- Notifications alert you when the entire batch is complete
Best Practices for Batch Upload
1. Write a Detailed Job Description First
The AI uses your job description as the primary evaluation criteria. A vague description leads to vague scoring. Be specific about:
- Required skills and technologies
- Years of experience needed
- Key responsibilities
- Nice-to-have qualifications
2. Craft a Strong Custom AI Prompt
Your custom prompt is your competitive advantage. Tell the AI:
- What skills matter most (and which are nice-to-have)
- Red flags to watch for
- Industry or company-specific requirements
- How to weigh different factors
3. Upload in Batches If Needed
You can upload multiple batches to the same job. This is useful when:
- Resumes come in over time from different sources
- You want to process a test batch first
- Your scan balance is limited
4. Check Your Scan Balance Before Uploading
Avoid interruptions by verifying your remaining scans before starting a large batch.
5. Review Results Progressively
Results appear as each resume is analyzed — you don't need to wait for the entire batch. Start reviewing top candidates while the rest are still processing.
After the Batch Completes
Once processing is complete, your dashboard is fully populated:
- All candidates scored and ranked — Sorted by AI match score
- Filter by skills — Find candidates with specific technologies or experience
- Filter by qualification — Focus on qualified, unqualified, or pending candidates
- Bulk actions available — Send interviews, emails, or status updates to groups
Recommended Post-Batch Workflow:
- Review top candidates — These are your strongest matches
- Send AI interviews to qualified candidates in bulk
- Send follow-up questions to borderline candidates for more data
- Reject clearly unqualified candidates with professional bulk emails
- Compare finalists using the side-by-side comparison tool
